Artistic Operations Manager

Job Title:                      Artistic Operations Manager

Reports to:                   Vice President, Operations and Artistic Planning

Classification:               Regular full-time exempt

As one of the greater Phoenix area’s most iconic institutions, we are seeking dynamic, outgoing, goal-oriented team members to join our team and help propel the Symphony into its next phase of artistic and organizational growth.

Purpose of the Position: 

The Artistic Operations Manager assists the Vice President, Operations and Artistic Planning with all TPS performances. The role will complete administrative and performance related duties to ensure information is accurate, updated, and organized, and will provide thorough communications to guest artists and their management for performances. This role is crucial in keeping all documents and processes up to date for department use, assists with internal and external communications, manages the Music Director’s schedule, and provides world-class artist services.

Essential Functions: 

Essential Functions:  With or without reasonable accommodation, and under general supervision, employee must be able to perform the essential functions of this position, which include:

  • Manage guest artist logistics for all TPS subscription concerts including Classics, Pops, Specials, Family and offsite series concerts and all non-subscription run-outs.
  • Primary point of contact for artist managers in the execution of artist contracts.
  • Manage the Music Director’s calendar in coordination with the President and CEO’s office.
  • Monitor the artistic budget to ensure performance budget goals for each performance week are met.
  • Collaborate with the Operations team to create the annual orchestra season calendar.
  • Communicate with the Production Stage Manager to ensure that artist technical riders and artist hospitality needs are achievable and cost effective.
  • Ensure that all contractual travel and accommodations logistics for all guest artists, Music Director, and all other conductors are met and communicated to staff.
  • Maintain a thorough knowledge of the contents of individual artist contracts to remain in legal compliance with TPS union Agreements; alert internal staff to possible issues.
  • Coordinate with VP of Marketing and Communications on guest artist marketing and PR opportunities.
  • Perform in-season backstage concert duty as primary guest artist point of contact.

Qualifications: 

  • Exceptional organizational skills and attention to detail with a high degree of accuracy.
  • Knowledge of Classical soloists, conductors and orchestral repertoire and appreciation for Popular artists, repertoire and performance styles.
  • Excellent written and verbal communication skills and the ability to interact effectively with a wide variety of people.
  • Ability to manage confidential material, organize effectively, and work independently.
  • Ability to meet deadlines, often under pressure.
  • Excellent editing and proofreading skills.
  • High level of personal and professional integrity and trustworthiness.
  • Strong work ethic and emotional maturity.
  • Ability to collaborate effectively.

Computer Skills:   

  • Excellent computer skills including proficiency in Microsoft Office Suite; OPAS knowledge a plus.

Experience: 

  • Minimum three years of orchestral performance or performing arts administrative experience.

Education:

  • Bachelor’s degree and/or advanced degree in music and/or arts management are required.

Working Conditions/Physical Demands:   

  • Excellent driving record and dependable transportation.
  • Sit for long periods and stand occasionally
  • Ability to twist, bend, reach, and lift up to 20 pounds
  • Ability to work nights, weekends, and extended work days (October-May) to meet seasonal demands, at TPS offices, Symphony Hall, and/or other performance locations.
  • The position requires in person attendance and is not suited for remote work situations.
